Dispatcher/Office Assistant
Job Summary:
We are seeking a highly organized and detail-oriented Dispatcher/Office Assistant to join our team. This role is critical in ensuring the smooth operation of our office and dispatch functions. The ideal candidate will have experience with Excel and QuickBooks, possess strong communication skills, and be able to manage multiple tasks efficiently. This position has the potential to evolve into a full-time role based on performance and company needs.
Key Responsibilities:
– Coordinate and manage the scheduling and dispatching of fuel deliveries to clients.
– Monitor delivery routes and provide real-time updates to drivers and customers.
– Assist with day-to-day office tasks, including answering phones, responding to emails, and managing office supplies.
– Utilize Excel for tracking and reporting purposes, including maintaining accurate records of deliveries, fuel inventory, and other essential data.
– Handle accounts payable and receivable tasks using QuickBooks, including invoicing, payment processing, and reconciling accounts.
– Assist with data entry and maintain accurate and up-to-date records.
– Provide excellent customer service by addressing inquiries and resolving issues promptly.
– Collaborate with the team to improve operational efficiency and contribute to process improvements.
Qualifications:
– High school diploma or equivalent; additional education or certifications in office administration or a related field is a plus.
– Proficiency in Microsoft Excel, including experience with formulas, data analysis, and reporting.
– Experience with QuickBooks or similar accounting software is required.
– Strong organizational skills and attention to detail.
– Excellent communication skills, both written and verbal.
– Ability to multitask and prioritize in a fast-paced environment.
– Previous experience in dispatching, office administration, or a related field is preferred.
– A proactive attitude and the ability to work both independently and as part of a team.
